Leads & CRM

The Leads tab is your CRM. Every person your agents talk to is there, with where they stand, who handles them and what happens next. The AI moves leads through the stages on its own. You correct, assign and annotate.

At the top, four clickable numbers: All, To handle, Qualified and Meetings booked. They are computed on the same filters as the table (campaign, owner, period, country, tags, search). Click one: the table shows exactly those rows, and the number does not move.

To handle means the lead needs a human: the AI stopped and waits (stage Waiting), or a planned next action is overdue.

Counts are exact up to 5,000.

The toolbar has a search (name, number, handle, email) and the filters Stage, Owner, Campaign and Period. More filters adds Channel, Country, Tags, Meeting, Outcome, Next action, AI and Source.

Filters live in the page URL. Bookmark a filtered view, or send the link to a teammate: they open the same rows.

Columns shows or hides columns (tags, meeting, outcome, next action, country, first contact, qualified on, messages, email, phone, source). The choice is saved in your browser, per team. Click a column header to sort.

The AI writes the stage as the conversation moves. A lead is always in exactly one stage.

Stage Meaning
Contacted Written to, no answer yet.
In conversation The lead replied. The AI or a human is talking.
Waiting The AI stopped and waits for you.
Qualified The agent validated the interest, using the criteria in your prompt.
Meeting booked A meeting is on the calendar, or was held.
Not interested Wrong fit, or an explicit refusal.
Cold No answer after the follow-ups.
Stopped The conversation was stopped. The AI no longer writes.

Tick rows, or tick the header to select the loaded rows. The bar then offers to select every result of the view, up to 5,000. Three actions:

  • Assign: give the leads to a teammate, or remove the owner.
  • Add a tag: add one tag to all of them.
  • Export: download the selection as CSV.

Bulk actions run in batches of 100. A progress bar shows where you are and you can stop at any time. Leads outside your scope are skipped.

Export in the toolbar downloads the current view. Columns follow the CRM vocabulary (stage, meeting, outcome, owner, tags, source, dates, message counts) and headers are translated. Requires the View analytics permission.

Click a lead: it opens in a panel on the right, and the URL becomes ?lead=..., so you can share it. The arrow keys move to the previous or next lead. Esc closes the panel.

The record shows the identity (country, number, campaign, email), the key dates, the tags, and four axes:

While the AI is active on the lead, choosing a stage opens a confirmation that says what the AI will do next. Two choices: Change the stage (the AI is told, and carries on with the new stage) or Change and take over (the AI stops writing, and the lead becomes yours).

Set Outcome to Won or Lost. For a lost deal, pick a reason: Price, Bad timing, Unqualified, Competitor, Unreachable or Other.

Under Next action, click Plan an action, pick a date and, if you want, what to do. An overdue action puts the lead in To handle.

Write a note in the Activity tab and click Add the note. The journal keeps every human change (assignment, stage, outcome, meeting, tags, next action, take-over) with who did it and when, plus the milestones written by the AI: first contact, qualified, first meeting.

Each lead can have one owner. Owner in the record, or the owner cell in the table, shows who.

  • Take it: take a lead nobody owns. Needs the Send / reply permission.
  • Assign: hand a lead to someone else, or take it from them. Needs the Assign leads permission.
  • Remove owner: free the lead.

Changing the stage, outcome, tags, notes, next action or meeting needs the Edit leads permission. A member whose access is limited to their own leads sees My leads: their leads and the unassigned ones.

The public API reads and writes the same fields: status, tags, owner, next action and notes. Stage changes can reach you in real time through webhooks. See API: leads.
